The artwork catalog
A post is how a piece is shown. A catalog entry is the record of the piece itself: its title, year, medium, dimensions and a number that never changes. Labels, show exports and the 3D room all read from it.
Why catalog a piece
- Wall labels and thermal labels print the catalog fields, so a cataloged piece gets a proper museum-style card instead of just a caption.
- Shows export the catalog number, title, medium and dimensions in their spreadsheets, which is what a curator needs for insurance lists and price sheets.
- A piece that is sold or exclusive to a show is tracked at the catalog level, so the same work cannot be sold twice through two different posts.
Issue a catalog number
Either switch on Catalog this piece when you post, or open an existing post and choose Add to catalog. The catalog sheet asks for:
| Field | Notes |
|---|---|
| Title | Required. |
| Year | |
| Medium | For example "Oil on linen". |
| Dimensions | Free text, for example "24 × 36 in". |
| Series | Optional. Pick an existing series or choose New series… and give it a name and a short code of 2 to 8 characters. |
| Statement | A few lines about the piece, shown on museum cards. |
Tap Issue catalog number. Pieces in a series are numbered within it, for example HVAW-003. Pieces outside a series get a plain running number, for example No. 14.
Numbers are permanent. Once issued, a catalog number is never reused or renumbered, even if the post is deleted. That is what makes it safe to print on a label.
